2011 Financial Report

Dear Parent,

As you are aware, the WCAA Cowboys football team is divided into five squads based on age/weight limitations set forth by the GCYFC. For the 2011 season, the Cowboys registered 102 football players. This number reflected a fifteen (15) per cent drop in projected registration numbers. Our committee feels the drop in numbers this season are reflective of the current economy. We also believe that our current registration fee of $250 presents a hardship on many families who have multiple children which results in their non-participation.

INCOME $28,634.89
EXPENSES $23,372.66
2010 DEBIT $1894.96
NET INCOME $5262.23


FINAL SUMMARY- It is the conclusion of the Cowboys Football Committee that the Cowboys finished the season with $5262.23 available income or better.

More-so,the committee feels that our program accomplished its goals as it
overcame a slow registration period which resulted in a 15% loss of income. An aggressive booster program run by many dedicated parents including parents that no longer have children participating in our program demonstrates just how much loyalty we have as a group and have garnished over our ten-year history.

The Cowboys football and cheer leading program had a combined net income of $10,315.62 according to WCAA Financial Reports.

On behalf of our ten-member football committee; the Director and his assistant Director, we appreciate the time that you have taken to read our report today. We hope that we can put to rest any concerns that our program is on the decline or in failure. We as a group have many dedicated volunteers and coaches whom spend over 300 hours at the park each season insuring that our program stays on course regardless of any and all hurdles that come our way.

Our new HOF members include Amber Perez, Isaiah Stinson, Davon Henry, Daryl Floyd, Isaiah Dejesus and Nico Mirrop.  Also our honorary members include coaches Jim McLeod, Hector Guzman, Frank Walthers and Steve Brown. Congratulations!!

This website is dedicated to the founder and longtime Director Mike McCarn, along with his assistant Directors Troy Cothran and Steve Ankrom who together ran the Cowboys program from 2001-2012.  All stats for players and teams are no longer recorded after McCarn retired in 2012.   Now under new management, the Cowboys still call WCDP home and invite all former players and coaches to attend their home games.  See you all at the Homecoming Game.

COWBOYS Mission Statement:

The mission of the
Cowboys is to enable young people to benefit from participation in team sports and activities in a safe and structured environment. Through this active participation, our program teaches fundamental values, skills and knowledge that young people will use throughout their lives.

The Cowboys seeks to provide fun athletic learning opportunities for children, while emphasizing the importance of academic success. Specifically, we seek to familiarize players and spirit participants with the fundamentals of football, cheerleading and dance. Our program strives to inspire youth, regardless of race, creed or national origin, to practice the ideals of sportsmanship, scholarship and physical fitness.

Objectives

To encourage and increase youth participation in football, cheerleading and dance.

To ensure a safe and positive playing environment for all participants.

To instill life-long values of teamwork, dedication and a superior work ethic in the classroom and on the playing field.

Positive Experiences:

Our program does not have tryouts or cutting of rosters.

Everyone participates under mandatory rules of play.

On-field coaching is allowed for younger age levels.

Safe Playing Environment:

Players are matched by age and weight levels.

There are strict mandatory equipment requirements.

We provide Coaching Clinics and Risk Management Training.

An enforced rule book incorporates time-tested rules.

We have a lightning-detection device to protect our players and cheerleaders.

All players and cheerleaders must have a sports physical to participate.

We have mandatory water-breaks during practice and games.

We have mandatory weigh-in for all players before games.

All our coaches and volunteers must pass a background check.

2011 Financial Report

Registrations, Park Fees and other income

 

 

 

The WCAA Cowboys football team is divided into five squads based on age/weight limitations set forth by the GCYFC. For the 2011 season, the Cowboys registered 102 football players. This number reflected a fifteen (15) per cent drop in projected registration numbers. Our committee feels the drop in numbers this season are reflective of the current economy. We also believe that our current registration fee of $250 presents a hardship on many families who have multiple children which results in their non-participation.

 

In addition, the Bulls football program initiated earlier registrations this past season starting nearly three months ahead of the Cowboys. These factors may or may not have had an effect on our registration numbers. However, in 2010, we saw a drop-off of 15% as well. We were caught off-guard by this decline, but for 2012 we anticipated 120 players by decreasing our numbers by 15%. With a drop-loss of 32 players over the past two seasons, we as a committee are at loss as to the reason(s).

 

Below is a summary of the monies received during the course of the season. This includes both online and offline registration fees.

 

Registration Fees:

 

The 2011 registration fee was $250 for football players.

 

  • Flyweights- rostered twenty (20) players with eleven players paying online in the amount of $260 which included the collection of their park fee. Of the remaining nine players, six players paid by check in the amount of $250. Two players (brothers) paid a total amount of $312 of the $500 owed. The balance of $188 was picked up by the PPP program after both parents were laid-off from their jobs during the season. The last player was given a reduction in his registration fees ($150) because his father was an executive football committee member.

SUMMARY- Total registration fees owed $5000.00, collected $4712.00 for loss of $288.00

  • Supermidgets- rostered twenty-two (22) players with fifteen players paying online in the amount of $260 which included the collection of their park fee. Of the remaining seven players, three paid by check in the amount of $250 while one paid $260 in checks which included their park fee. Another player paid $200 in checks after joining mid-way thru the season. Our team mother coordinator paid online in the amount of $197.50 and reported during the making of this report that the final $62.50 had yet to be debited from her card. The last player was Rob Oknefski's son who we traded out registration fees for services provided as he painted our fields during the season.

     

SUMMARY- Total registration fees owed $5250.00, collected

                  $5147.50 for a loss of $102.50

 

  • Midgets- rostered eighteen (18) players with ten players paying online in the amount of $260 which included the collection of their park fee. Of the remaining eight players, five wrote checks in the amount of $250 while one wrote checks in the amount of $260 which included their park fee. For the remaining two players, one received a full scholarship through the PPP program while the other paid $100 but quit before he paid the remainder. We also had a large number of players defect/quit the team. Ten players left for various reasons, and after refunds were issued the Cowboys still retained $725.00 . These monies were placed into our PPP program.

  • Of the ten players, one player had a check bounce in the amount of $250.

    Marlon Tyler (Selena Lewis) parent has stated that she has paid her son's registration fees. In both phone conversations and email correspondence over the past few weeks, she is adamant that she gave Nancy Stringfield a money order for $250.00 during the week prior to her attending the WCAA BOD meeting in which she presented her case to sell food at our football games. However, in the most recent email, she has now stated that she may have given it to our team mother coordinator Stacy Krous. Both Nancy and Stacy have reported that neither of them have any recollection of receiving the money order. Therefore, our committee has agreed to regard the money order as being lost until this matter is resolved.

 

          SUMMARY- Total registration fees owed $4250.00, collected $4100.00 for a

  • Junior Varsity- rostered twenty-three (23) players with nine players paying online in the amount of $260 which included the collection of their park fee. Of the remaining

    players, one player paid $135 online and another $125 by money order for a total of $260 which included his park fee. Six players paid by check in the amount of $250 while three executive committee members paid by check in the amount of $125 each.

    The remaining four players included one full scholarship player by way of the PPP program and another PPP player whose parents paid $100 in checks. The remaining two players were WCAA BOD and received scholarships through the PPP program as well.

    There were three players who quit the team during the course of the season that included two WCAA BOD players and the third player received a full refund minus his park fee.

    SUMMARY- Total registration fees owed $4750.00, collected $4475.00 for a

    loss of $275.00

 

  • Varsity- rostered nineteen (19) players with eight players paying online in the amount of $260 which included the collection of their park fee. Of the remaining eleven players, one player paid by check in the amount of $125 and another with $125 in cash. These two players and the nine others received scholarships through the PPP program.

 

         SUMMARY- Total registration fees owed $2000.00, collected $2250.00 for a

net gain of $250.00

 

  • PPP (Put a Player in Pads) has been a program used by the Cowboys since 2004. The program solicits donations from the community to help off-set the cost of registration fees for players in financial distress. Some players parents contribute what they can to the fees but others are given 100% scholarships.

    During the course of the 2011 season, the PPP program collected $3381.50

    from various sponsors. In addition, the Cowboys participated in the Cookie

    Dough program raising an additional $180.00 and sold t-shirts which raised

    $1482.00. Also included would be the $725 in refund fees that had been

    retained during the season. There is also an indication that park usage fees

    were also collected during the same time by team mothers and intermingled

    with the monies collected. Sadly, the records kept by team moms are no

    longer available or non-existent to begin with.

 

In all, the PPP program collected $5768.50 which was distributed among the 16

players who had requested financial assistance. Of the 16 players, six players

contributed monies towards the program. Of the remaining twelve players, two

were considered BOD members. A total of $4160.00 was distributed out to PPP

players during the 2011 season which included payment of park fees. The

remaining balance of $1608.50 would be put towards team expenses.

Please note that during the course of the season, committee members and PPP

participants were notified and made aware that the WCAA was considering new

rules regarding scholarships. At the conclusion of our football program, the

new policy had not been implemented by the WCAA BOD.

 

 

  • Online collection resulted in 63 paid park fees in the amount of $630.00

 

  • Off-line registrations were not recorded as accurately as the director would have hoped. On the ledger that our committee kept during the season, only three players were marked as having paid the fee. During the season, as players registered off-line, the Director and committee members allocated to collecting registration fees failed to collect park usage fees.

 

When the issue of park fees was addressed late in the season, our parents were asked to make their payment to their team mothers. Collection of these funds were unfortunately intermingled with other checks/cash that had been collected for t-shirt sales and parent fees. Parent fee's were collected for several items including end-of-year party, coaches gifts and half-time snacks.

 

Players who received monies or scholarships from the PPP program had their fees paid. This represents 16 paid park fees. However, this is not reflected in the WCAA Football Financial report. The PPP program is not in the report as well and therefore, we do not expect the payment to be recognized. The $160 would

 

It is with sincere regret that as Director, I cannot ascertain as to how many parents paid the fee. Other than the 82 players that we have on record of paying the fees, there are no written records of payment that can be used to accurately report who did or did not pay the fee. Going into the 2012 season, more accurate and better record keeping of these fees will be done by the director and those assigned for collection of park usage fees.

 

                      SUMMARY- Park fees to be collected $1020.00 with $820 being

                                        attributed as having been paid by parent and/or the

                                        PPP program. There is a deficit of $200 which may

                                        or may not be accurate. We do know that our

                                        records show 66 paid park fees and the 16 PPP

                                        players fees would be paid out of the program.

Please note that the WCAA Football financial report indicates that $3365.00 was

deducted from the registration fees. Our ledger shows $20,684.50 having been

collected during the course of the season. The WCAA 20% commission should

have reflected a deduction of $4136.90 which would leave a balance of $16,547.60.

 

The deduction for Rainier Activity charges of $3321.90 decreases the amount above

to $13,225.70 which is further reduced by a $515 player fee paid to the WCAA in

the amount of $12,710.70.

 

The Cowboys ledger indicates $4783.05 in other income which includes

fund-raising, sponsorships and rebates. When adding to income, the amount

increases to $17,493.75. There is additional income in the amount of $1278.40

which boosts income numbers to $18,772.15. Finally, there is $7244.00 to be added

for a final income number of $26,016.15.

 

For expenses, the Cowboys stayed on track throughout the season with

expenditures totaling $17, 423.46 (Rainier/WCAA 20% having been deducted)

WCAA Financial Report numbers:

INCOME $28,634.89

EXPENSES $23,372.66

FINAL SUMMARY- It is the conclusion of the Cowboys Football Committee that

the Cowboys finished the season with $5262.23 available income or better. Our

ledger report does not have access to any other charges made to the program.

Therefore, the difference of $1423.50 could be reduced by expenditures unknown

to the program and/or to the possibility of lost checks/ money orders that may not

been turned in to the proper person.

 

However, the committee feels that the program accomplished its goals as it

overcame a slow registration period which resulted in a 15% loss of income. An

aggressive booster program run by many dedicated parents including parents that no longer have children participating in our program demonstrates how much loyalty

we have as a group have garnished over our ten-year history.

The Cowboys football and cheer leading program had a combined net income of

$10, 315.62 which also included a Super Bowl Championship and several first

place finishes in cheer leading tournaments.

 

In a program that has experienced a 28% loss in registration income since the 2009

season, and a program that has limitations on the number of participants by rule, the Cowboys tackle football program overcame these hurdles and managed to dress out 102 players and scholarship 16 of those players and show and end-of-year net

income of over $5000 should be applauded.

 

On behalf of our ten-member football committee; the Director and his assistant

Director Steve Ankrom, we appreciate the time that you have taken to read our

report today. We hope that we can put to rest any concerns that our program is

on the decline or in failure. We as a group have many dedicated volunteers and

coaches that spend over 300 hours at the park each season insuring that our

program stays on course regardless of any and all hurdles that come our way.

The Perfect Season's 2006 and 2012

In 2006, our Cowboys JV won all their regular season games by outscoring their opponents 415 to 40 points. Their offense scored 52 touchdowns and scored 55 extra points. Their defense earned the nickname of the DOOMSDAY DEFENSE by shutting out six opponents during the regular season and allowing only six touchdowns and 40 points! In addition, their defense SCORED 11 TDS.

In 2012, our Pee Wee's won all their regular season games with their offense scoring 45 TDS. Their ZERO DEFENSE shutout eight opponents and allowed just 31 points.
