    2009 TEAM MOM'S LETTER
    Prepare a letter to introduce yourself to the team. Check with your head coaches to ask if there is anything specific he or she wants included like practice times etc.... Provide contact information for you and the coaches. ALSO EXPLAIN TO THE PARENTS THAT YOU ARE THE POINT OF CONTACT FOR THE TEAM. YOU CONTACT THE COACH AND/OR THE B.O.D. WITH QUESTIONS FOR THEM. THE COACHES & ASST. COACHES JOB IS TO TEACH THE KIDS!!!!! Don't be afraid to tell a parent that you will get back to them. Take their phone # or tell them you will get the answer before the next practice. You can email the board at cyf@carvercowboys.com. The coaches job is to teach the kids the sport, and the parent questions are more easily answered through the team mom. For instance if there are several parents with the same question they can go through the team mom instead of all those parents holding up the practice or holding up the time the coach leaves the field at the end of practice to ask repeat questions. If you have a time sensitive question you can call Sean. Also provide our website and hotline information again for game and practice cancellations.

    At the baseball field please let the parent know that there are NO parents or siblings allowed inside the fence on any of the baseball fields. Children playing/digging in the fields will result in us loosing our privilege to practice at that location. Same on the softball fields NO ONE can play on the infields, please keep an eye on the 2 fields and make sure there are no children on them during practice.

    At the purchase street field make sure you advise parents that they need to drive all the way to the end of the parking lot near the port-a-potties before letting their children out of the vehicle. They CAN NOT stop in that first lane to drop off it causes traffic jams which is the one of the major reasons we can no longer have the entire program practice at this one location.



    Home game volunteers. We play our home games at Carver High School. We need the following volunteers for each time period:

    Set up 8:00 – E team
    1.Concession stand 4 people (no children allowed in stand)
    2.Apparel table 2 people
    3.Gate 1 person
    4.1 person with a pick up truck to set up field
    5.2 people to help set up field

    Game Staff
    1.Concession stand 5 people (no children allowed)
    2.Apparel table 2 people
    3.Gate 1 person
    4.Field – 3 people to do flags
    5.MPR – 2 people

    Game staff schedule with the exception of field & MPR volunteers which are usually done by the parents of the team playing because these positions are physically on the field (best seat in the house!!)
    E game is @ 9:00 need B team parents
    B game is @ 10:30 need E&C team parents (may vary in time)
    C game is @ 12:00 need B&D team parents (may vary in time)
    D game is @ 1:30 need D&C team parents (may vary in time)
    This is not exact !!! These times may vary since we do not have an A team this year.

    Note: All D team participants are required to stay after their game to help clean up the field area.

    We will provide a volunteer sheet, work with the mom from other teams/ squads playing at your time to fill the volunteers needs before and/or after your game. Don't forget to fill the “field” positions during your game. We ask everyone to volunteer at least once if not more is fine to. After you have filled the volunteer spaces for your team give a copy of the list to the Volunteer Coordinator so the board has a copy on game day. You will need to call and remind the volunteers from your team the Friday night before the game and tell them that we are expecting them. Please have them report to the concession stand and we will get them started.

    At different times throughout the season, the board will be giving you stuff to pass out such as fundraisers, and directions to the next away event. It is important this stuff get handed out quickly. We also suggest that you work with your coaches to call a team meeting with parents to touch base. Once a week is a good idea. Even if there isn't any board news to report this time could be used to update the parents on the progress of the teams and inform them of what they can expect their children to be practicing as we progress.

    Please report any issues to the board IMMEDIATELY. Even if it is something small shoot us a note or an email or grab one of us down at the field. A bunch of “small” stuff can become a big issue, if we don't know about it we can not help.

    We will be providing you a contact list for all team moms so that you can co-ordinate getting your volunteers.
