2011-2012 Closing Season Message

Greeting family,

 

The season is now at an end and we would like to say Thank You for your continued support and understanding as we went through a number of obstacles and changes this season.

 

Having a great number of participants this season, it opened our eyes to a number of things we need to adjust for the 2013 season.  We will be proactive and secure a bigger facility to house our opening season Parent’s Night, where parents will receive our opening information, meet our staff (board and coaches) and ask questions.

 

We would also like to say thank you for all that attended our End of the Season Award Ceremony (Pep Rally style).  Each year, we try a different way to carry out this special time for our participants and each year we have seen things we need to change/adjust.  We’ve tried many different styles of post season ceremonies; i.e. Guest speakers, auditorium layout, fine linen banquet style; we’ve called names, not called names, handed out trophies, and not handed out trophies.  Each way, we’ve received feedback that prompted us to consider various ways to have the event.  As always, we welcome feedback to try and make this a memorable event for each child.

 

With this being said, we attempt to be considerate of folk’s time and to ensure the participants are recognized in some manner.  With the number of kids, when we handed out trophies in the past, by the time we were halfway in the teams, folks would pull their child and leave.  As a result, by the time the last teams are called, no one was there to show support.

 

We ventured out to have a “Pep Rally” style event this year to ensure the kids had fun. And we believe that goal was accomplished.

 

We did have a number of participants that were not present during the Pep Rally so we will hold a trophy pick up day.  This date/location/time will be confirmed and advertised soon.

We were just notified that we do not have the HS Aux gym tomorrow due to a school function.  Due to this, we had to move all of our HS Aux games to either Elko or HS Hudson.

 

We have contacted the team parents and coaches to also notify parents of this sudden change.

GAMES CANCELLED MONDAY (2/20/2012) DUE TO SNOW


We have been advised by the county that all Henrico County schools and gyms are closed on Monday due to the snow.  We will reschedule the Monday games to be played later this week.  More information will be posted to the website soon.

Please also keep an eye on the website surrounding games and practices for this week.  Due to the snow, we are on a day by day update.

SPECIAL NOTICE
 

We want each of you to be aware of two incidents that occurred this past weekend at HSHS Aux and Elko gyms.

 

·        At the HSHS Aux Gym, two children were caught “up stairs on the second floorrunning and banging on lockers. The custodian and a HSHS staff brought this to my attention and informed me that they would call the police and have them arrested for trespassing if this continued. I immediately stopped the game that was in session and asked the parents to ensure they knew where their children were and that no one is allowed in the school halls unless:

1.     They were with their coach/team

2.     Going to the reset room ACCOMPANIED by a parent

  

·        On Monday, I also received the following message from the county about Elko:

o   Will you please emphasize to the parents of your kids on Saturdays that they cannot, under any circumstances, bring food and water into the gyms at Elko MS?  Apparently, a bunch of the parents and kids have been sneaking food in via jacket pockets and such.  The school has called us about that and we run the risk of losing the gym if we do not comply with their requests.

o   Also, please ask parents to monitor young children.  They play and run around in the commons area, and we really need to keep all kids under control and in the gym.  We only have use of the gym, not the commons and the school feels that we are taking advantage of the space.

 

These two incidents have really caused a strain on the operation of the league and as we continuously communication NO FOOD OR DRINKS in the gyms, if things are not changed, we may be forced to stop snacks all together.

 

Instead of going to this extreme, at this time, we have come up with another solution and we need EVERYONE’S HELP!!!!!

 

·        At the HSHS Aux Gym, we will have an AD, a board member, AND a Team Parent on duty at every game. The team parent will sign in for duty and then be at the entrance of the hallway to ensure no children are in the hallway alone and adhering to the above actions in red.

·        At the Elko gym, we will have an AD, a board member, AND a Team Parent on duty at every game. The team parent will sign in for duty and then be at either entrance of the gym to assist with the “no entry of food/drinks" and to ensure children are not in the commons area unless the above actions in red are satisfied.

 

With this information, WE need everyone helping out to the best of your ability. Parents please know that we are trying our best to ensure our program is running successfully but we need YOUR help. Please make sure the children are in the gyms and no food or drinks are in the gyms. If you are in the gym and see things that are not adhering to the county rules, please address the issue then or go to a person on duty. Each score table has a book for who is on duty, from the AD, Board Member or Team parent. The Division Coordinators are in the gyms most times as well if not on duty.

Week of January 23, 2012
 

Games are still going well and our mid-season is this weekend.

We had a serious complaint about some children running to the 2nd floor of Highland Springs Aux and were banging on the lockers. A school official and custodian caught them and was going to call the police to consider trespassing. Please, please, please ensure that your children are not running in the hall ways of the schools. At the HSHS Aux gym, no child is now allow in the school hallway UNLESS with a parent or the coach and team. Please speak with your children and ensure they understand the importance of staying in/around the gym area during the games. Makon will have a meeting with the schools this week to discuss conduct and our future. So that we can keep the positive relationships and this league running, please work with us and ensure you are aware of your child at all times (during practice and games). 

Upcoming Events:

·          EEYB and U of R:

o    80 parents, supporters and board members will be attending University of Richmond while the Minor Howard, Minor WSSU, and Minor All-Star Cheerleaders perform. Please join us and show the children your support on Wednesday, January 25th at the 7:00pm game. 

·          Norfolk State University Tour:

o    We have 25 seats remaining to fill the 2nd bus so if your Junior, Senior, or Super Senior participant (basketball or cheerleader) would like to join us on this season’s HBCU tour, please fill out the attached form and turn in at:

·         Tuesday, January 24th at Martins (White Oak Village), from 6:30pm – 7:30pm

·          Fundraisers:

o   Our first fundraiser collection/turn in will be this Saturday during the following times and locations 

·         Collection dates: January 28th

We are one week away from mid-season and things are going well.  Please see below for important updates.

We would like to say Thank You to all whom assisted with gym and clock coverage this weekend.  Team Parents, please stay tuned for this Saturday’s coverage.  A new tab will be created on the website for coverage assignments.

Please also remember to ensure that your children are not running in the hall ways of the schools.  We have received complaints that the children are in areas where they should not be.  Please speak with your children and ensure they understand the importance of staying in/around the gym area during the games.

What’s New:

·          Additional Clock Training:

o    We will be conducting an additional clock training class as we are in need for more assistance.  If you are willing to do the clock for us during a Saturday’s game, please respond to this message and Ms. Nicole Carter will be in touch with you with details.

·          EEYB and U of R:

o    Minor Howard, Minor WSSU, and Minor All-Star Cheerleaders will be performing at the University of Richmond, during the Wednesday, January 25th 7:00pm game.  If you would like to be a part and support our children, you may purchase your $5 advanced ticket this Saturday.  Please see Makon for details.

o    If your Junior, Senior, or Super Senior participant (basketball or cheerleader) would like to join us on this season’s HBCU tour, please fill out the attached form and turn in this Saturday.  The first bus is full.  We are now only accepting 44 spots for the second bus. 

o    A board member will be located at the Highland Springs Aux and Hudson gym to take your child’s tour permission slip along with the tour fee.

·          Fundraisers:

o    Please continue to push the fundraisers that was included in your child’s information packet.  Although fundraisers are not mandatory, they are very important to the continuation of success and managing of the league. 

o    Collection dates will be January 28th and February 4th at all gym locations.  Times, TBD.

January 13, 2012 Update
 

We would like to say Thank You for being patient as we know the picture schedule is very complex. Because we have so many teams and we are short of one gym to play games this week, this has put a strain on the schedule. 

Please ensure to view the website front page for your team’s picture time. Due to the large number of children and teams this season, we encourage each person to arrive 20 min early for their assigned picture time and to have your picture order form already filled out. This will help lessen the chances of game delays.

In order to ensure games are on time, we ask that you do the following:

·         Please arrive atleast 15-20 minutes early for your picture time.

·         Please already have your order form filled out and ready to turn in.

·         Please remember:

o   Only coaches and participants allowed in team pictures.

§ NO TEAM PARENTS ALLOWED

o   Only 2012 issued attire allowed in team pictures.

§ NO SWEATSUITS OR WHITE/COLORED TEE’S ALLOWED

§ If you are not in correct attire, you will NOT be allowed to take the TEAM PICTURE

o   You may take your individual pictures as you see fit (i.e. siblings, etc.)

Other Updates:

·    A phone was lost this past Saturday at the HSHS Aux gym. If you seen it, please respond to this message and advise so that it can be delivered back to its owner.

·          Souvenir Booklet and Shout-Outs Due this Saturday:

o    If you know of company, you have a company, or would like to give your participant a Shout-Out, please turn in your form by this Saturday’s deadline. You will find the order form either within your child’s packet of information, visiting the website’s front page, or the attachment. A board member will be located in the picture area, at Elko, to collect your submissions.

o    The full color booklet will be available for purchase the beginning of February.

·          Norfolk State University Tour:

We hope that you had an enjoyable Opening Day with us and now it’s time for additional fun!!!! 

Please continue to view the website frequently for updates surrounding weekly practice schedules and weekly events.

Important Note: There was a recent update to the Senior and Super Senior division basketball schedules. Please ensure that you view the game schedule for possible updates to your team. (Impacted teams: SR Shaw, SR VSU, Super SR NSU, Super SR VSU, Super SR Richtown)

Things to know:

·          Coaches:

o   Please ensure that your team has a score keeper at the table. This is required during each of your games. Parents, if you are able to volunteer, please let your coach know.

·          We need YOUR help:

o   We are in need of clock runners. If you were present during the clock training or if you are able to assist with running the clock during your child’s game, please respond to this message with your name, contact info, and availability.  Ms. Nicole Carter will contact you with further details.

·          Conduct:

o   Parents, please ensure to monitor your children while in the gyms. Please ensure that they are not running in the halls or bouncing balls. Teams are also not allowed to warm up in the commons area of Elko (they can stretch but no sliding or drills).

o   Please ensure that everyone reads and understands the league rules. Anyone not abiding by the rules will be asked to leave the gyms in disciplinary actions will be taken.

·          League Pictures are this Saturday:

No Practice this Friday due to school closings….


Hello family. Please know that this will be the last email communication until school resumes January 2, 2012.

As you are aware, this week is the last week of pre-season practice. As the schools are having meetings and holiday programs, some of the gyms will not be available. Some practices have been adjusted this week so please ensure to visit the practice schedule tab for this week’s team assignments.

We would like to thank you again for your patience as we work through school assignment adjustments. Please remember when you are at practice, the children (participants and siblings) should remain in the gyms and not roam in the hallways. We have received complaints from some schools that children are not in our assigned area. Please work together to ensure we are in our assigned areas during practice.

We will resume regular season practices when school resumes on Monday, January 2, 2012. That week’s practice schedule will be posted by the end of December.

Our 2012 season officially starts on Saturday, January 7, 2012. Stay tuned to the website as we are working to have the 2012 game schedule posted by the end of this week. If it’s not posted by this Friday, due to possible confirmations, we will work to have it updated before Christmas.

EEYB Needs YOUR Help!!!!

Each team will need a score keeper and a team parent. If you are interested, please let your coach know this week so that your information can be provided to our Team Parent Coordinator. Our team parent meeting will be Monday, January 2, 2012 at 6pm. Please visit the website for more details.

Practices will begin this week, starting tomorrow. We would first like to say thank you for your patience and understanding while we've had to adjust to changes and last minute adjustments.

Hopefully by now, you should have heard from your coaches. If by chance you have not, the team rosters and practice schedules have been posted to the website. Please take a moment to visits the perspective tabs to obtain your child's team information.

 

Please know that each team has been slotted at least an hour practice time frame and we try our best to end all practices by 8:30pm. School is our first priority and we adjusted accordingly.

The practice schedule for the two weeks in December has been posted. Due to school closing and some cancellations, some team practices are not the same from week to week. So please continue to visit the website and view the practice updates before you leave work to go to practice each week.

Coaches now have their rosters and will contact parents by the end of this week


We would first like to say thank you for your patience and understanding as we have been working diligently to accept and work around not having Parents Night. This is the first year that we have been instructed not to have this event, so we have put other things in place to get all necessary information out.

Last night, we meet with each coach to provide them with a packet of information (notes, instructions, etc.), their equipment, and rosters. They were instructed to contact each parent by tomorrow (Friday, December 2) to introduce themselves and to provide practice information. 

Things that would have been discussed at Parents Night:

·          Communication:

o    Weekly emails will start next week (if you have an email listed) giving information about upcoming events.

·          Team Parents:

o    If you are interested in being the team parent for your team, please let your coach know so that an application can be submitted.   Team parents are very important for the coach and the team. Please visit the website and view the team parent tab for duties and other information.

·          2011-2012 Souvenir Booklet:

o    Please visit the website (front page) or see the attached surrounding this season’s booklet. Give your child a shout-out that’s remembered and cherished. If you have or know of a business that would like to place an ad in this season’s booklet, please let us know. We have over 500 children this season and this booklet will be seen by over 2000 people. So don’t wait, the deadline is not far away.

·          Website:

o    Starting Monday, December 5th, please start checking the website (www.eeyb.org) on a daily basis for updates.

o    Rosters and practice schedule will be posted to the website soon. Due to some addition checking, we will not post until all information has been checked.

·          Gyms and Practice:

o    Please know that we are at the mercy of the county with the gyms. School function are priority over recreation so at anytime, a practice can be canceled. When HCPS’s are closed, the gyms are closed. If schools are closed early due to weather, the gyms are closed.  We will do our best to adjust accordingly.

o    Practice starts Monday, December 5th and each team has been assigned at least a one hour slot.

o    Because we have 42 teams this season, practice spaces are limited. We have asked the coaches to utilize their practice spot to the fullest as an extra practice during the week is not guaranteed.

o    We will do our best to keep practices at the same place and same time each week, but due to school events and cancelations, we may have to adjust.

·          Uniforms:

o    Uniforms are scheduled to be returned and distributed by the team parent and/or coach during the practice in the first week of January 2012.

o    Each EEYB 2011-2012 Registered child, MUST WEAR their 2011-2012 issued uniform in order to play in the games.

·          Rules and Conduct:

o    The game rules have been finalized for this season and will be posted to the website under the Forms/Handouts tab. Please take some time to review and ask your coach questions.

o    We follow Henrico County school rules when it comes to conduct so please ensure to review the conduct section of the rules. 

·          Game Schedules:

o    This season’s game schedule will be posted to the website no later than mid-December. 

o    Please be mindful that we have limited time in the gyms so after each game, PLEASE DO NOT WALK ON THE COURT and be respectful of the children warming up for the next game.

·          Officials:

o    Please remember that we are all human and they may not see all infractions. We will not tolerate any foul language or taunting towards the officials. If this occurs, you will be asked to leave the gym/school and if you have a child, they will have to leave as well.
