General Board Meeting Minutes –April 11th 2013

HUNTLEY CHEER ASSOCIATION, INC.

Call to order: 6:37

Board Members Present:

Nicole Saineghi –Director of Operations                                         Jeanine Schmidt -- Secretary

Holly Lucas – Director of Cheer                                                        Cindy Piecuch – Administrator Coordinator

Lesli Melendy – Assistant Director of Operations                         Marina Mathis -- Treasurer

Melissa Eberhardt – Assistant Director of Cheer

Also Present: Christina Crea, Christina Van-Dine, Diane Muscia, Jennifer Lucis, Wendy Feidler, Angela Felton

 

Officers Reports:

Nicole:  VIP is booked for Pictures along with the $200 dollar sponsorship; Date set is August 14th/ Rain date Aug 15

FootBall is asking for our participation in the Walk a Thon, Cancer Awareness in October 2013, Pep        Rally/BonFire

               Parent Meeting date set on June 13th 2013 at Kosta’s – Rec @ 6pm and Competition at 7pm

               Went over important Date Sheet and when email will go out

               Mtg with Union Special to discuss number of days space needs to be rented

 

Holly: Announcement of Squads in the next week or 2

           There are 25-27  7th & 8th grade girls going to the IRCA summer camp

            HHS Cheer camp is the week of July 22-25 and is $55.00 -- Registration is only online

            Announcement of Coaches and Team Moms has been sent out by e-mail

            VOICES clinic is May 19th at the Schaumburg Marriot (Coffee with Bob)

            IRCA is offering a Jr. Coaches Clinic

            Jr. Coaches are assigned and have been notified

 

Melissa: Adult Coach/Team Mom Code of Ethics is finished and will be online

 

Lesli: Spirit wear is all done and ready to be sorted and distributed at Uniform fitting on May 11th  2013

          T-shirts from early registration are done and ready to be handed out at Uniform fitting

          Possible 2nd order for Spirit Wear with New items (Shirts, Hoodies, Car Decals, Yard signs)

          1 Generic T-Shirt for Competition season (Unity for all of HCA)

 

Marina: Tax Extension needed for 2013

                Offered to come up with new ideas for Spirit Wear and Car Decals/Yard Signs

 

Jeanine: Sent out the Email for Girls with Missing Insurance Cards

                Collecting insurance cards by e-mail/printing them out to have on file

 

Cindy: Looked into Fundraisers for HCA

            Lou Malnatis fundraiser is set for May 16th 2013 (All Day)

            Red Robin is set for June 20th 2013

            Culvers has no dates available until 2014/ Booked date in September 2014

 

New Business:

We brainstormed ideas of additional Fundraiser possibilities: Five Below, Morettis, Colonial Café, Bubs Subs, Kostas, Subway, Goodfellas Beef

HCA  General Board Meeting  February 11th 2013

Board Members Present: Nicole, Holly, Lesli, Melissa, Jeanine, Marina and Cindy             

Others Present: Wendy Fiedler, Carrie Parsons, Monica Ortega                                                                       

Call to order: 6:38pm

 

Discussed the IRCA meeting that Nicole & Melissa attended    

*Went over IRCA sponsored events for 2013

*Went over qualifying numbers for 2013 season

*State Championship is December 6-8th 2013

                        -Friday starts at 5pm with the parade/6pm competition starts

                        -Saturday starts at 8am and will end at 6pm and Sunday will start at 8am

*IRCA keeping twisted dismounts

*No more notes about ADHD athletes

*IRCA Super CDA Camp for 8th graders-- The Grand Bear Resort in Utica IL, June 7th-9th 2013, $250 per Cheerleader (includes lodging, camp, and meals)

*Keeping the Large trophies for state

*DVD’s are being done in house this year

*Order Spirit wear ahead of time for the IRCA competitions (can order online and pick up at competitions)

 

Competitions:

*Agreed on these Competitions for the 2012 season, they are:

                        -Rolling Meadows 10/6/13 (More info to come)

                        -Jacobs High School 10/20/13 (Cheer Revolution)

                        -Sears Centre 11/2/13 (Solid Gold Cheer)

                        -Sears Centre 12/6-12/8/13 (State Competition)

 

Registration:

*Good turnout, 104 girls registered including the Sparkle squad

*Last minute Registration to be done at uniform sizing May 11th 2013 with an additional late fee $30 added on top of registration fee

 

Sparkle  Squad  Update:

*Voted Carly onto the Board of Cheer as the Sparkle cheer liaison (Voted was taken at the Feb 9th 2013 registration)

*Practices will take place on Tuesdays for 1hr (Place TBD)

*The Sparkle squad will cheer every week

*Touch Base with Deb from Crystal Lake’s Sparkle squad

*Talked about getting sponsors for Sparkle Cheer (NISHRA, Huntley Fall Fest, etc)

*Discussed uniforms for the Sparkle Squad (getting them a size bigger, elastic waist??)

 

Sponsors:

*Check out Wal-Mart, Costco, and Culvers for possible Sponsorship

 

Uniforms/Body wear:

*Uniform Sizing set for May 11th 2013 from 9-12pm at the REC center

*225 uniforms inventoried

*Staying with the same body wear/ Changing the socks (white with silver stars)

 

VOICES clinic:

*Call and see if you can reserve spots/Add people at a later date ??

 

Jr. Coaches:

*Talk with Jr. Coaches early

*No Jr. Coaches are to coach their siblings

*Applications, Letter of Recommendations (2 teacher, 1 outside- non cheer related)

*PCA-Positive Coaching Alliance

*Service hours??

Music

*Have it in place on the website

*Schedule a definite date to sit down

*June (Music Month)

 

Squad Assignments:

*Meeting in April / Date is set

 

Winter Season:

*Discussed doing a Winter Season (Feb-April)

*Ask for Jr. Coach Volunteers

*3 Competitions possible (Wisconsin Dells, Milwaukee ??)

 

Coaches Class:

*Talked about doing a 1 day Coaches/ Jr. Coaches class

 

Senior Squad:

*Set Price, Create a Flyer, Competition only, Adult coaches

 

Insurance:

*Need to make sure that Marlowe Middle school, Union Special, and Huntley REC Center are added to the insurance policy

 

Spirit Wear:

*Getting some more additional youth sample sizes

*Discussed the possibility of getting some Cheer Dad spirit wear and Rain ponchos

*Discussed the possibility of switching vendors for Spirit wear (Varsity)

Executive Board Meeting Minutes –January 9th 2013

CALL TO ORDER: 6:30 PM

Board Members present:

§  Welcomed all new Board members (discussed & described each position     and their duties)  

§  Gave Nicole the flash drive

§  Discussed $100 fee for rental at Marlowe to help out HYF Registration and took a vote on it. All voted for the 100.00 rental fee. 

§  Discussed Registration for 2013.  Fees will be $250 REC and $300 Competition for early registration.  Second registration to be $25 dollars more and Third registration to be same as Second registration.

§  T-Shirt incentive for First Registration

§  Marina/Nicole to update flier for 2013 Registration

§  Date for Second Registration is March 19th from 5-8 pm at Kostas

§  Website is updated and Domain Name is good until 2014          

§  All have admin rights to HCA’s Facebook page

§  Talked briefly about what day meetings would be held

*   Lesli --    

§  Can set-up at 6:00pm at Banquet hall

§  Touch base with the DJ about table space

§  Asked the question of how we are going to check people in at the Banquet

§  Sparkle Squad to be up and running this season

*   Danielle/Holly/Kelly/Melissa--

§  Discussed appointing a representative to attend the HYF meetings

§  HCA to have an active role in the Walk a Thon this year

§  HHS Cheer Camp dates July 22nd-July 25th 2013

§  Discussed Cheer Camp to teach basic stunting and sideline cheers

§  Discussed possible scheduling 3 Competitions

§  Need to go over on a Saturday morning?? To add/remove names to bank account

§  Need to write donation check from Octobers Cancer awareness bows

§  Discussed payment plans for ONLY Registration Fees

 

 

 

Suggestions made throughout the meeting:

-Applications/Background checks for Adult Coaches

-Junior Coaches need 1 outside reference (non-cheer)

-Separate meeting to go over By-laws and Parent Manuel

-Coaches journal
