2009 Spring Track Season Communication
Final Communication: 5-17-09:
Year-End Ice Cream Social - Awards & Slideshow:
Our final event of the CYO Track season will be our Ice Cream Social Awards & Slideshow. It will take place on Sunday, June 7th at 7:00PM . Location will be at St. Isidore Small Gym, located next to the church. This event is for the whole family. All athletes attending will be recognized. You will be receiving an e-mail "EVITE" soon with all the details and RSVP. We hope you can make it; this is always a fun event for the kids to finalize the track season. In order to save time during our evening, please remember to RSVP as our awards presentation will only include announcement of kids that we know are present at the event.
Diocese Meet / Results:
Congratulations to all our athletes who represented us well at the Diocese Meet last Saturday. All the kids did great, and many ended the season by attaining personal records. We also had some amazing Diocese Meet Record events. The meet results are now updated on our website under "Results" link.
Ryan Bayliss (3rd Grade Boys): Broke the 1600 Meter Record at 5:56.02
Christine Bayliss (6th Grade Girls): Broke the 1600 Meter Record at 5:18.76
Savannah Wieser (6th Grade Girls): Tied the 800 Meter Record at 2:23.21
St. Joan of Arc Girls 4 X 400 Relay Team: Broke the 4 X 400 Relay record at 4:16.00

Ribbon and Medals:
We have many unclaimed ribbons and medals from the season. The ribbon boxes will be available at the party. If you cannot come to the party, the ribbon boxes will be available at the St. Isidore Church parish office starting on Monday, June 8th. Please ask Eileen Perez in the parish office for assistance.
CYO Fall Cross-Country Program:
Our fall cross country program will begin in August. Information will be available on our website by the end of July.
Lost and Found:
I will bring any lost / found items to the party. I also have two necklaces that were found at the Granada meet in Livermore. One is a silver cross pendant; the other is a cut out quarter with hearts on a silver chain; someone would have the other cut out half of the quarter...
Closing:
This will be our final e-mail for the 2009 track season. We had a great season, and we hope your kids had fun. We greatly appreciate all the parent help and support throughout the season to make the year a success.
Our program was again the largest track program in the Diocese, and this year we were at record enrollment. In order for us to continue without having to limit enrollment in the future, we appreciate any help you can offer. Please let us know if you would like to become more involved so we can keep our program on a successful roll.

Diocesan Meet Communication: 5-7-09
Diocesan Championship Meet Preview:
*The top three finishers in each event in the Sectional Championship are eligible to compete in the Diocesan Championship Meet. Forth place finishers in all events are considered "alternates" and will only compete if there is an opening in the field. This may be due to a scratch or fewer than three entrants from one of the other two sections. The only exception is high jump where the top 4 athletes will compete.
*4th place in the Sprint Medley Relay is not an alternate by Section Rule. The alternate will only run, if a team from our section defaults. No greater than 3 representative teams from our section can participate.
*Please let Caroline know ASAP if your qualifying athlete will not be able to compete in one of his or her events. This will allow the alternate to be notified in advance informing them that they have a spot to participate.
*There will be an admission charge on Saturday:

CYO Track Families:
Just a couple of last minute reminders to take note for the Sectional Track Meet:
(Please help us by reminding your kids of the following):
1600 meter event on Friday Evening - May 1st @ Diablo Valley College in Pleasant Hill:
There has been a time change. The meet will start at 7:00 PM, and the first call will be at 6:45PM. Please arrive early to allow time to warm-up, and bring warm clothes and prepare for the rain. Coach John or Caroline will have the name tags.
1600 Meter - grade order: 3G, 4G, 3B, 4B, 5G, 6G, 5B, 6B, 7G, 8G, 7B, 8B,
Admission Charge for Saturdays Meet:
There will be a $3 admission charge for adults, $1 for High School students, and 8th grade and younger are Free.
Saturday - Meet will start at 9:00 Sharp with 4X100 Relay - Be there by 8:15
If your child is in the 4X100 relay, they must be on time. If you haven't already confirmed to coach Caroline about your relay team, please do it now. The teams are intact with their assigned teammates, and we have no alternates to fill in. If someone is late, the team will have to forfeit.
If your child is only in the Sprint Medley relay or 4X400, be there by 12:45 to allow adequate time for warm-ups and check in.

Please check the website under "Handouts" link for the latest listing of qualifiers, and if any alternates have been changed.
Checking into your event on time:
Make sure your kids get to their event on time. When the first call is made, all assigned athletes and alternates must check in. The alternates are ready to take the spot if an assigned runner is not there shortly after the final call. Please keep track of the order of events. The clerk of the course staging area will be on the north side of the track by the snack bar. No kids will be allowed on the field during the meet unless they are participating in an event.
If your child is in both running and field events, make sure they check in when the event is called. If you are at a field event, and the running event call is made, please excuse yourself with the field event official; they must be notified - do not just leave. Then following your running event, report back to the field event.

Relay Teams:
Please help us by reminding your teammates to be on time. As mentioned before, if teammates do not show up or are late, there is nothing we can do, and the team will have to forfeit. Do not let your teammates down; this is very upsetting for those who are there, and often waiting around all day for the sprint medley and 4X400 event, then not being able to participate. Stay together, and don't leave the meet without letting the coaches know.
Parent Volunteers for Saturday:
If you are assigned to work, you have been e-mailed, and the assignments are posted on the website. If you are not assigned to work, and your child qualifies for the Diocesan Meet, most likely you will be assigned to work then.
What if it rains:
The track meet will go on as scheduled, and will only be called off or rain delayed during the meet time. Please be prepared for the weather, dress warm, and have an extra set of clothes and socks for your kids.
Ribbons will be available at Saturday's Meet:
The ribbon coordinators will be at the meet, and will be sitting mid-way up the stadium bleachers in front of our banners.

Relay Team Communication: 4-22-09
We are excited about all the relay teams formed for Saturday's Qualifying track meet. Teams confirmed were based on your preference, availability and commitment. We are expecting you to be there.
The final relay team lists are now posted on the website under the “Handouts” link. There are still some athletes we need to verify, and open spots to complete a team. If you child can help fill in a spot so the others listed can participate, please reply to this e-mail ASAP.
Please note the following:
1. Please be there on time. If your kid is in a 4X100 Relay, they must be there by 8:15 for warm-ups. If a team memb er is late, the team is=2 0in jeapardy of having to default. Complete teams will not be disrupted to fill in for a missing member.
2. If your kid is on a Sprint Medley team, or 4 X 400 team, do not leave the track meet. It is unpredictable when the sprint medley will take place, but typically it takes place after 12:00. If you need to leave briefly and are coming back, make sure you notify the coach, and give someone on the relay team your cell phone number in case we need to get a hold of you.
3. Runner Position / Order: Runner position on the 4 X 100 relay teams have yet to be determined. We will finalize the running order at practice today or tomorrow. Once the order is set, we do not want kids switching it around. All relay cards will be filled out in advance of Saturday.
4. Relay Team practice: We would like to extend practice on Thursday (4/23) at Diablo Vista Middle School to 6:30 to allow the relay teams to practice in their teams and running order. We would like to get as many kids there as possible, even if they already practiced twice this week.

Next Track Meet: Saturday, April 18th
Our next track meet is Saturday, April 18th at Granada High School in Livermore. Please have your athletes there by 8:15AM if they plan on running in the 4 X 100 relay event or the 1600 meters. We will be running the BOYS 50 & 100 meter races on the visitor side of the track to save time. Be on time if you are scheduled to volunteer.
What is the Qualifying Meet?
Our last regular season track meet is our Qualifying Meet on Saturday, April 25th. It will be held at Granada High School in Livermore. We expect all athletes to participate in this meet. You do not have to have a qualifying time or an existing time in any event prior to the Qualifying Meet. Remember, all our previous meets were considered "practice" meets, now this is the official one that counts. In order to move on to the Sectional Championships the following weekend, you must qualify by placing in the top three of your grade for running events, and the top four for field events. Kids can participate in a total of 3 individual events PLUS relays.
Information about the Qualifying, Sectional, and Diocese meets are located on the website - Track handbook link (page 11).
Relay Questionnaire for Qualifying Meet:
We would like to start forming the relay teams in preparation for our Qualifying Meet. If your child would like to be placed on a relay team, with the possibility of qualifying for the Sectional and Diocesan Championship meets, you must complete the attached questionnaire to validate your family commitment. We are aware that many of the kids are also participating in other sports, or have spring league soccer, try-outs, etc. Please be honest on the form with your availability. If you indicate you are available with no restrictions, we will be counting on that. If something else comes up in the meantime, we expect that your track commitment will be the priority.
Please remember, the coaches will be forming the relay teams. There are a multitude of factors that go into forming the teams, so please be understanding and trust us to make the final decisions. There will be a number of competitive teams formed in most of the grade levels, especially for the 4X100 relay event.
Relay Events:
Kids can participate in as many as three relay events at the qualifying meet. All kids are eligible to run in the 4X100 Relay and Sprint Medley Relay. The 4 X 400 Relay is available for 5th - 8th grade, and if needed, we can mix grades (can run up for the higher grade) for this relay only.
We will do our best to assign everyone interested to a relay team. Unfortunately, the number of kids interested are not always in multiples of four, so depending on their preference, they may be assigned to either the 4X100, sprint medley, or both.
Please turn in your questionnaire ASAP preferably at practice this week. Deadline for receiving the questionnaire will be Monday, April 20th.
We will talk to the kids at practice, and will have extra copies available.
Relay Questionnaire forms should be given directly to coach Caroline, or you can fax it to (925) 743-0363. Please do not e-mail the questionnaire.

Next Track Meet - Saturday, April 4th:
The track meet this Saturday at San Ramon Valley High School. Meet start time is 9:00 AM; athletes should be there by 8:15 for warm-ups. Relay team formation will take place immediately after warm-ups. Coaching staff will be selecting the teams; kids should not be pairing up and forming their own preferential teams. We will again be running the girls 50 / 100 meter sprint on the opposite (visitor side) of the track. Athlete name tags and volunteer sign-in take place at the track entrance on the Del Amigo side.
We are short parent volunteers at this weekends meet:
Due to spring break, many families are out of town and we are short volunteers for this weekends meet. If you are planning to attend, and do not mind helping out, we would greatly appreciate the help. Please notify Caroline ASAP at runcyotrack@aol.com. Jobs needed are posted on the website homepage.
Meet Results:
The first three meet results are posted on the website. There have been many errors identified, and we will do our best to correct the results on the ribbons and the master files on the website. We encourage your child to keep a journal of their events and times and use the information to establish goals for their progress. It is most important that the kids are having fun, doing their best, and seeing their effort reflective in their times or measurements over the course of the season, and not by what place they came in.
Formation of 4 X 100 Relay Teams in preparation of the Qualifying Meet on April 25th:
As mentioned at the parent meeting, and emphasized to the kids at practice, the coaching staff are to form the relay teams. In order to promote inclusion of all kids, the coaches will determine the teams by combining the variety of speed and abilities.
In preparation of the qualifying meet on April 25th, starting with meet #5 on April 18th, the coaches will begin to establish competitive teams for the 4 X 100 Relay based on athletes participation and times. Although all kids can participate in the relay events at the qualifying meet, in order for them to be considered for a competitive team, they must have participated and established a time for the 100 meter event. If they have not established a time, or would like to improve their existing time, they must participate in the 100 meter event this weekend or on
April 18th.
Practices during Spring Break:
We will have optional practices as scheduled during the weeks of spring break, with the exception of April 9th in observance of Holy Thursday.
No Track Meet on Saturday, April 11th:
We wish you all a Happy Easter and safe travels during your spring break.

Next Track Meet - Saturday, March 28th:
The track meet this Saturday is a Relay Meet and will take place at Ygnacio Valley High School in Concord. Meet start time is 9:00 AM. There will be three relay events only, and no field events. We encourage all athletes to participate in all three relay events. There are four kids per relay team, and the coaching staff will be selecting the teams; kids should not be pairing up and forming their own preferential teams. If we need to, we will be mixing parishes, grades, to allow everyone to participate. This is a fun track meet, and allows kids to try different running events.
The relay events are as follows, and will be run in the following order:
1. 4 X 100 meter Relay - each kid runs 100 meters
2. Distance Medley - 1st and 2nd runs 200 meters, 3rd runs 400 meters, and 4th runs 800 meters.
3. 4 X 400 meter Relay - each kid runs 400 meters (1 lap)
The 4 X 100 Relay teams will be formed immediately after warm-ups. Please have your athletes there by 8:15 AM so the teams can be finalized, and the relay cards completed. Following the first relay event, the kids should see the coaching staff in order to get their next relay team established. Relay teams will be formed at a gathering spot on the field called the "Free Agent" tent. This will allow us to make up teams by mixing parishes if needed.
Parent Volunteers:
Your specific job assignments have been posted on the website under the "Volunteer Assignments" link. Be sure to review the e-mail sent out with instructions explaining shift times. Please be on time, and look for your volunteer check-in person carrying a clipboard with the ORANGE flag.
Child's Name Tag:
Please make sure your child gets their name tag first thing upon arriving at the track meet, prior to the warm-ups. Also, please tell your child not to peel off their tag; it must be adhered to their left side upper chest. We cannot replace lost name tags. Their athlete number listed on their tag is very important for the accuracy of the results.

Results / Ribbons:
The meet results from last Saturday's track meet is posted on our website. It is in an excel spreadsheet format, and includes results from the other two meets taking place in our section. Select the bottom tab that corresponds to "Granada" meet.
Due to the delay with our meet results, ribbons from last Saturday should be ready for distribution at practice Monday.
Track Meet this Saturday, March 21st:
Our next track meet is this Saturday at San Ramon Valley High School. Meet start time is 9:00 AM.
Please have your athletes there by 8:15 AM for warm-ups. Relay teams for the 4 X 100 meter event will be formed immediately following warm-ups. DO NOT be late if your child wants to run in the relay.
This is the first time we have been able to host a track meet at San Ramon Valley HS, and we are all very excited about it. We want this to be a positive experience for everyone; kids, parents, coaches, visiting teams, and most important the community. The SRVHS Track team will be selling items at the snack shack. Please do your part (and remind your kids) to take care of your garbage prior to leaving the meet.
Name tag distribution and Volunteer check-in will take place on the north entrance to the track off Del Amigo. Athletes should get their name tag first prior to going on the field for warm-ups. The name tag parent volunteers will be carrying a clipboard with a BLUE flag. Also, please tell your child not to peel off their tag; it must be adhered to their left side upper chest. We cannot replace lost name tags.
Due to the good neighborhood noise ordinance in Danville, will are not using the over-head PA system. Our announcer will be using a megaphone, and we will have multiple volunteers assisting with communication of the event calls. If you are not familiar with the order of events, please print off a copy from our website. We greatly appreciate your help with keeping the kids on track so they don't miss an event.
Order of Events: 50 & 100 meters:
This week, the girls 50 & 100 events will take place on the home side of the stadium, and the boys will take place on the visitor side. They will be run simultaneously.
Parent Volunteers:
Your specific job assignments have been posted on the website under the "Volunteer Assignments" link. Parents working should of received a reminder e-mail last night. Please be on time. Look for your volunteer check-in person carrying a clipboard with an ORANGE flag. They will be located on the north side of the track for the morning shift; on the infield for the 2nd shift. You must sign-in, and will receive a 'Volunteer" name tag.
Parent assigned to work on March 28th (Relay):
We are asking any of you assigned to work next Saturday, March 28th, if you wouldn't mind switching to either April 4th or April 25th. This meet will only have running events, so the volunteer demand is not as great. Please contact our volunteer coordinator, Celia Millis, at millis5@comcast.net ASAP if you don't mind switching.

In attempts to speed up the meet, we will be running the boys and girls 50 and 100 meter events simultaneously. They take place following the 400 meter run.
The boys 50 and 100 meter events will take place on the home side straight-away, and the girls 50 and 100 meter events will take place on the visitor side straight-away. Although we will make sure to have plenty of overhead announcements, please prepare your child.
We also ask that parents do not cross the track and field to get to the visitor side; please walk around the track along the outside of the fence.
T-Shirts: Those athletes still needing their shirt:
Uniform shirts will be available to pick-up at the track meet. Please arrive early if you still need your shirt. They will be distributed by the entrance gate to the track.

PARENT VOLUNTEER ASSIGNMENT DATES:
Based on the meet preference dates you requested with your registration forms, parent assignments have been finalized. The assignments are posted on the "Volunteer Assignment" link on the website.
If you have a conflict with a meet date originally assigned, please try to find your own replacement and make a switch with another family.
Once you have arranged your replacement, please notify our Volunteer Coordinator, Celia Millis at e-mail millis5@comcast.net. She must receive your notification one week prior to the scheduled meet. (For this coming meet on Saturday, please notify Celia by Monday 6:00PM.)
All families are assigned three track meets, with the exception of parents serving in a Key Volunteer position or those who are part of the coaching staff.
Meet Job / Shift Assignments:
Specific meet job assignments will be posted on the website by Wednesday evening prior to the Saturday meet. This will be listed under the “Volunteer Assignment” link.
If you have a special request for either 1st or 2nd shift or a job preference, please notify Celia one week prior to the scheduled meet. Any requests after the deadline will not be granted, and you will need to wait until the job assignments are posted on Wednesday evening and make your own switch.

We are planning to host a track meet clinic this Sunday from 3:00 to 4:00PM at San Ramon Valley HS. Our regular Sunday practice will follow from 4:00 to 5:00PM.
Track Meet Clinic:
This is very important, especially for new families to attend. The coaches will be reviewing the details what happens at a track meet, and what is expected of parent volunteers working the track meet. This will include stations on proper officiating the running events, field events, and relays. We will also host a clinic for the kids. We will be reviewing the order of events, the process of 1st call, 2nd call, going over starts, and what they can expect at the first track meet.
We are hoping that by hosting the track meet clinic, it will reduce the amount of time it typically takes to orient parents to their assigned job the morning of the track meet, thus starting on time. This will also allow the coaches to focus on the needs of the athletes during the meet vs. training.
If there are any veteran families that can help us with the stations at the clinic on Sunday, please notify Caroline ASAP via this e-mail address.
If you are not able to attend the clinic, please review the track handbook on the website. This is a very valuable resource of information, and families should refer to it first if they have any questions.
Uniforms:
Our track shirts are in, and will be distributed at practices on Sunday, and next week. You will be receiving the size that you ordered; we will not allow any exchanges.
Nancy Lisiak, and Debbie Bluestein, our Uniform Coordinators, are asking for help during shirt distribution. If you are planning to stay at practice, they would greatly appreciate your assistance. They will need at least 4 to 5 people at each practice.

If your child will not be attending a track meet, please use the "Track Meet Sign-Out Binder" This binder will be available during practices, usually hanging on the white announcement board
Parent Volunteer Assignment Dates:
Based on the meet preference dates you requested with your registration forms, parent assignments are being finalized. The assignments will be posted on the website by this Sunday on the "Volunteer Assignment" link. Our Volunteer Coordinator handling meet assignments is Celia Millis. She can be contacted at the general e-mail of runcyotrack@aol.com. All families are assigned three track meets, with the exception of parents serving in a Key Volunteer position or those who are part of the coaching staff.
First Track Meet: Next Saturday, March 14th:
Although not confirmed, we are anticipating that our first track meet will be held at Granada High School in Livermore. The final schedule will be confirmed by this weekend.
Drop Date:
Our drop date deadline was February 23rd. From this point forward, we will no longer give any refunds to families requesting to drop from the program. This includes your registration and $100 volunteer deposit. Our numbers are final, and have already been submitted to our Section Coordinator for league fees.

(Please note that our practice starts at the conclusion of the high school track practice. Kids should stay behind the fence and not enter the track area until instructed by the coaching staff. In addition, we may have some field restrictions tomorrow due to the boys and girls high soccer teams practicing for their NCS playoffs. We may be limited to the track only and will need to be creative with our large group. The kids must behave and cooperate with our limitations during this practice).

WELCOME TO THE 2009 CYO TRACK PROGRAM

Communication:
From this point forward, the primary resource for our communication will be on the website. There is a link called "Important Communication," with the most recent being at the top. Any e-mail communication will also be on this link. Please make an effort to check the website regularly for any updates. E-mail will be used for any last minute changes or important information.
Optional Practices added:
Due to the Presidents holiday weekend and our minimal practice schedule, we have added the following practices. These are optional, and the primary focus will be on fine tuning our warm-up routine and proper stretching.

Practice Schedule:
Our normal practice schedule will continue on Wednesday, February 18th as stated on the website. Our focus during the first few weeks will be conditioning and proper warm-up/warm20down; then will start to introduce running form and technique.

Parent Handbook:
The Track / Parent handbook has been updated for the 2009 season. This can be accessed by going to the link "Track Handbook." You can either print your own copy, or view it on-line as a PDF file. The handbook is very comprehensive and will address the majority of the questions that may come up during the track season.

IMPORTANT INFORMATION REGARDING PRACTICE AND SAFETY:
Confirmation of Practice:
A “CYO Track Practice” sign will be posted on the fence indicating that practice is taking place. At San Ramon Valley High School (SRVHS), the sign will be on the fence at the track entrance off Del Amigo Road. At Diablo Vista Middle School (DVMS), the sign will be located on the chain link fence upon entering20the field. Please be sure to have your children arrive on time. Also, it is imperative that you arrive on time to pick up your child at the conclusion of practice.
Supervision at Practice:
For safety reasons, we would like families of the younger grades (2nd, 3rd, 4th) to escort their child to and from the track. The only exception would be if they have an older sibling.
Bathroom Facilities:
Have your child use the bathroom prior to practice. Access at both SRVHS and DVMS are portable toilets. Children are not allowed to leave the field without the supervision of a parent. It can be disruptive to accommodate bathroom breaks during practice.
Shoes, Attire and Water:
It is expected that all athletes will wear proper running shoes to practice. They should not wear basketball, tennis, slip-ons, board shoes, or plat-form shoes and no bare feet is allowed. Running attire should be comfortable (i.e. shorts and a T-shirt), and have sweat pants and sweatshirt available. Have your child bring a water bottle labeled with their name (use a Sharpie pen) or use a sports bottle labeled with your child’s name. Kids need to pick up their trash / water bottles following practice in order for us to avoid costly custodial fees.
Absence:
If your child will be missing a single practice, there is no need to notify us.
