SWS BOARD MEETING MINUTES MARCH 2014

1. Approve February Minutes:

2. Treasure report:
For Travel currently in collection mode. Expense for this past month have just been for the SSU fees for teams that signup $800.00.
3. Secretary/Registration update:
Travel is at 57 teams. Currently 7 teams have outstanding balances. Many birth certificates and insurance certs still not been handed in. Currently have 2 teams with double rosterd players. Passed along to Cindy Stevens as form needs to be done for these players. Working on getting birth certs and insurance certs ASAP.
4. Travel Update:
Game form went out. Commissioners working on game dates and fields. Were told to have by Friday March 7, 2014. Travel meeting will be scheduled sometime next week. Rosters can be changed until up to one week prior to season start, after must use drop/add form that is listed online at SWS site. Several new commissioners that are being trained. Travel dates need to be gotten in ASAP.
5. Inhouse update:
26 teams currently registered. Keep them coming. In need of 2 commissioners one for 8U and one for 12U B. Lemont team here to get info on SWS and registering, and such. Were referred to Jeff and given site info.
6. Old Business:
By laws are still work in progress. Did not get to much since last meeting with these, but will work on. No changes are being made to by laws – just have not been updated in years with things from over the years that have changed. Still in search of a rules director. Any volunteers should contact Ron. Home game sate form was done – excel spreadsheet with drop down list. Venues have been updated. Now listed by town then fieldname. All have had maps and addresses added to them. Any missing just let us know. Rules need to be updated still on site – working on it. 2014 Clinic is trying to be worked out. 5-6 hours clinic with Margie Wright. Kelly Schultz will help facilitate. Need to see if Wheatland will do as well. Just have to get particulars and get setup. Motion to continue with clinic Naperville, 2nd Lockport. Memberships agreements need to be redone. Will tackle at next meeting.
7. Procurement update: Balls for tournaments gotten. Trophies are in the works. Tshirt designs wanted – single color. Will seek help with Tshirt deliveries and trophy pickup and delivers.
