TNLL Board Meeting Minutes 5/12/09
(In attendance: Jim Shevlin, Shelly Ralston, Wendy DeSousa, Rebekah Demers, Drew Beaulieu, Jack Ivester, Chuck Beckley)
Game/Player Issues
The board first discussed ways that we could make the games fairer between our league and those in Belmont and Canterbury. We discussed working on the skill levels of our farm/majors players. We also discussed having a coach’s clinic to help our coaches be more effective. We discussed purchasing teaching/coaching aids that all of the coaches could use. This includes using the pitching machine, purchasing videos,etc. Jim also mentioned that there are good resources on the Little League website. We also discussed possibly changing the ages of each level as follows: T-Ball 5&6 yrs old, Rookie 7&8 yrs old, Farm 9&10 yrs old and Majors 11&12 yrs old to better match up with the other leagues. In addition, we will gradually move the farm pitching mounds from 35 feet to 40 feet and eventually to 46 feet.
Tournaments
Next we discussed whether or not we should participate in the Little League’s tournament which includes leagues from Dover, Portsmouth, Laconia, Canterbury, Belmont and others. The board decided that we will decline the invitation for this season and reevaluate the situation next year when we have older and more experienced players. We did agree to participate in the Lakes Region Invitational Tournament and will send a team of 9&10 yr olds and a team of 11&12 yr olds.
The Larry Prince Scholarship
We discussed the Larry Prince Scholarship. We have $500 set aside for this already. Jim will be checking with Larry on what the criteria is for the scholarship. He will be contacting the high school guidance counselor to see if they have any students in mind. We discussed presenting the scholarship at the High School’s Awards night. We also agreed to keep the donations from Mr. Dwinal’s funeral in an interest-bearing account to be used for fees for underprivileged players. We talked about speaking with school officials to determine the need of these players.
Pancake Breakfast Fundraiser
The Pancake Breakfast at Applebee’s will be June 6th from 8am-10am. Sara is working on moving the T-ball games that are during that time so that we can all be available to work and so that those players’ families can attend.
End of year party/Awards Banquet
The board decided that this will be held on Sunday, June 28th from 4pm-6pm on the TNLL field. This will include a cookout and presentation of player’s trophies as well as plaques for coaches and umpires and recognition of players who are playing their last season with TNLL. Jack will work on getting tents for the event. Jack and Chuck plan on attending the next town meeting to make sure there are no issues with having the party on this date as it is the rain date for Old Home Day.
Miscellaneous
There will be no TNLL practices, games or events at Southwick on Tuesday, June 9th.
We will not be operating the snack shack on Old Home Day (June 27th).

We discussed having plaques made to honor those within the community that support the league. These will be handed out at opening day ceremony along with the plates for last years Farm and Majors Championship team coaches and sponsors. We are also still trying to hand out the player’s trophies that were not picked up last year.
We also agreed , as a board , that the by laws and constitution are ready to be signed.

TNLL Board Meeting Minutes 4/6/09

Sign-ups still coming in and extra uniforms were ordered. Jim will double check the counts on players. We may take more rookie and tee ball players but we will not be forming any new teams. It was discussed that next year we should have one board member be in charge of the registration forms and come up with a better way of keeping track of registration paperwork. A list is being made for missing forms/registration fees.
Coaches Mtg on Wed 4/8/09
Rosters to be given to the coaches at their meeting. At this time we only have two confirmed rookie coaches. Need two more tee ball coaches. Jim has left messages for potential coaches. Wendy brought books for coaches. We will be emphasizing conduct, coaches rules. We will also check with the coaches regarding CPR/first aid certification. Who is certified? Who is interested in taking a class? Coaches will most likely be responsible for the fee for the class.
Field Maintenance
Need to paint the dug outs, letters for the names on the dug outs and the eaves of the snack shack. Dirt is being donated. AC needs to be installed. Jack is estimating $700 needed for field maintenance.
Equipment
Everything has been ordered. Still waiting on baseballs which should be in on Thursday in Concord. Chuck and Jim bought all new tee ball equipment except for helmets. We discussed having an equipment checklist for the coaches. This will help to keep track of broken equipment so that we will know what needs to be replaced.
Opening Day
Still need new U.S. Flag. Jack to check on the condition of our other flags. Sara to check on Color Guard. Chuck will be checking with White Tiger Karate who has a previous member who just returned from Iraq to see if he can raise the flag or march in our parade.
Sara is sending out Opening Day invitations to our sponsors, local donators and local officials. We discussed making an opening day banner out of supplies from last year.
Miscellaneous
We discussed possibly hosting a charity game (ex: Fire Dept vs. Police Dept) on Old Home Day which is on 6/27/09. We need to all approve the league by-laws and constitution so that they can be signed by the board.

TNLL Board Meeting 3/23/09

Sponsorship
Applebee’s Pancake Breakfast to take place on 6/6/09 from 8-10AM. Drew will keep the game schedule open during this time so that it doesn’t interfere with the breakfast.
Anna’s Bakery would like to do a sign with partial payment and the remainder of the payment in services. The board discussed possibly asking them to do lunch for the umpire’s clinic and /or the cook-out at the end of the season. This is to be decided at a later date.
At the time of the meeting we had $8750 in sponsorships with only $1430 more to reach the $10,000 goal and $1000 more promised in sign fees. We had 8 teams without either a response or payment of sign fees. We needed current contact information for RH Claridge Excavation and Heart of Steel Roofing. Independence Trust Co. had not paid for last year. We had no response from Cutting Edge Graphics and Jim will be checking with them about sponsorship. Chuck spoke with Dipsy Doodle and Becky has already been in contact with them regarding their sponsorship and team. Jack was to check to see if we had a sign for Re/Max Intentions.
We will be contacting Concord Sports Center regarding what we owe them for Placement Day and we will deduct the $200 sign fee from that total.
Pictures
Andy Moore from Neat Photos made a presentation at the meeting. It was determined by the board that Neat Photos will be doing the pictures this season. He provided sample envelopes as well as pricing for packages. We were assured that one of the owners will always be on site. There is an option for on-line ordering. They already have our logo which Wendy e-mailed to Andy. Sponsor plaques will be provided at no cost to the league. They will be 7X10 plaques with a 5X7 team picture and a plate on the bottom thanking the sponsor as well as the league, year and sponsor name. Every coach will get a team photo and they will provide photos at no cost for advertising purposes such as for newspaper articles and tournaments.
Picture Day will be on May 9 from 9-11AM although Neat Photos will be there at 8:30AM and will begin taking photos then. In the event of inclement weather, Neat Photos will bring backgrounds and the Pines will allow us to use their facility for indoor photos and we will begin at 8AM. We will have time blocked out in the game schedules and use the field for pictures. We will determine further details regarding picture day at a later date. Wendy will e-mail Andy the # of teams and the # of players on each team.

TNLL Board Meeting Minutes for 3/2/09

Teams/Players
The board discussed the need for another two majors teams. Sara will be calling the past majors and farm players who have not yet registered. We will offer to waive the fee if they sign up this week. We also discussed keeping the number of players per T-ball team at eight. We discussed keeping the ages as follows: Majors 10-12 yrs, Farm 8-11 yrs, Rookie (coach-pitch) 7-9yrs and T-ball 5-6yrs. We also discussed the need for an additional farm coach, two more rookie coaches and one more t-ball coach.
We discussed limiting Sunday games to afternoon only.
Placement Day (March 14, 2009 3-6PM @ Concord Sports Center)
All board members to try to attend , if possible. Drew discussed a coach’s rating of 1-5, 1 being the lowest score and 5 being the highest. Players to be rated on the following: 1) Throwing to first base. 2) Pop-flies. 3) Throwing from home to the outfield. 4) Batting cages. 5) Running bases.
Form to consist of the player’s name, possibly the league age, the ratings and a comment field.
Practice Fields
Drew will be calling Chuck Stewart at Southwick regarding using their fields. Jack will be calling the Athletic Director at the Tilton School about using their fields. We discussed possibly contacting Tanger about using their field. We also discussed, if all goes well, using Tilton School for majors and farm practices and using Southwick for rookie and t-ball practices.
Photos
The board has decided to go with NEAT Photos and Andy Moore plans to come meet with us regarding their product. They are out of New Hampton, NH and Wendy will be checking with Andy on the team photo date which will most likely be on 5/9/09. Their will be no team photos on opening day.
Opening Day
Opening Day is to start with the parade. Sara will be checking into finding a Grand Marshall. Ideas discussed included the governor, police dept or fire dept chief, selectman,etc. Becky will be calling our team sponsors about having trucks in the parade. Sara will be looking into printing parade invitations and then following up with phone calls.
We discussed having two preschools come to sing, possibly Whole Child Ctr and Head Start. We also discussed speaking to Kirk Young about having the high school band play in the parade as well as getting a soloist to sing the national anthem.
For opening pitch, we discussed asking a D.A.R.E. officer or possibly, Tom Walsh, who is one of the founders of the league.
Sara will be contacting the American Legion Color Guard about participating in the parade and raising the flag. In addition, Sara mentioned that she will call Mary Dwinal’s granddaughter about presenting her with a flag in memory of Bob and thanking her for her support.
We discussed having the Echo come out to take pictures. We discussed checking with the Fire Dept, Police Dept, Rusty’s, town tractors, etc. about having “Touch a Truck” as an activity for the kids.

We discussed having a few board members bring a canopy for those sponsors/guests that may need shelter. Sara will check with the town on a start time for the parade, 9AM is the goal. Players, sponsors, vehicles, etc will need to arrive 30 minutes prior to the start of the parade. We discussed having the field presentation at 10AM. We decided to start the parade at Union Sanborn and have it then travel down Park Street rather than go down Main Street.
Field Maintenance
Jack will check with MB Tractor about donating a machine to use in lieu of a sign fee. Jack will also check on the dirt donation and check with the mower from last year about a commitment for this year. We discussed the need to work on edging, building up the mound and the batter’s box. Becky also mentioned that we will need to have someone come up with a proposal to present to Lowe’s for their community grant which she thought may be due in either June or July.
Budget Review
Wendy passed out a current spreadsheet of the budget. All teams have sponsors and we have a waiting list for team sponsors. We are waiting on payment from two team sponsors. Becky will be contacting sign sponsors about making payment or their signs will be taken down.
Best way is donating a dumpster. We discussed having a recycling area with a banner that reads, “TNLL Recycles.” The town pays for the handicapped portapotty and we have paid for the others. We are paid from one week prior to field clean-up through July.
Misc
Beth will be re-doing the e-mail addresses. We will be sending out confirmation e-mails regarding date, time, place of Placement Day.
