DUTIES OF BOARD MEMBERS

All board members are required to attend monthly meetings and special meetings as called by the President.

All board members are required to work in person registrations.

All board members are required to work as a "Board Member on Duty" at all home games as scheduled.

All board members are required to attend scheduled work days at Hunter Park.

 

President:

1)   Preside over all meetings.

2)   Execute contracts regarding the corporation except where the signing and execution thereof is expressly delegated by the Board to some other designated officer or agent.

3)  Oversee all operations of Granbury Pee Wee Football.

4) Help fulfill duties of vacant board positions.

 

Vice President:

1)   Preside over all meetings in the absence of the President.

2)   Assume duties of Director of Football if the position is left vacant. 

3)   Assist other Board members as needed.

4)   Help fulfill duties of vacant board positions.

 

Secretary:

1)   Record official minutes. Type minutes and email to entire board within 72 hours of board meeting.

2)   Handle correspondence with the Board’s knowledge and approval.

3)   Inform members of meetings in a timely manner.

4) Assume duties of Registrar and Public Relations if these positions are left vacant.

5) Assist in fulfilling other vacant board positions. 

 

Treasurer:

1)   Oversee the finances of the corporation in conjunction with the Board’s knowledge and approval.

2)   Provide refunds only with the approval of the Board or in accordance with Association by laws.

3) Keep all association accounts in good standing by paying invoices promptly.

4) Assume the duties of Fundraiser Chair in the event that the Fundraiser Chair position is left vacant.

5) Assist in fulfilling other vacant board positions. 

 

 Concession Manager:

1)   Order supplies

2)   Obtaining donations from area merchants/restaurants

3)   Maintaining updated books/records

4)   Maintaining the concession stand in a clean and operable condition.

5)   Report to the Board regularly.

6)   Work with the Treasurer to handle funds for the concession stand.

7)   Coordinate the concession stand work schedule with the Team Parents for the season.

 

Concession Stand Assistant:

1) Provide any necessary support for Concession Stand Manager.

*This position will only be filled provided there is a Concession Stand Manager.  Otherwise the assistant will assume the position of Concession Manager. 

 

Fundraiser Chair:

1)   Interview/investigate potential fund-raising activities and present them to the Board.

2)   Arrange all details with the fundraiser representatives.

3)   Coordinate fundraiser activities with all team parents.

4)   Account for all funds raised and work with the Treasurer for recording funds.

5)   Collect funds and distribute fund raising items, prizes, etc.

6) Work with the Concession Stand Manager and Concession Stand Assistant to manage the gate at home games.

 

Registrar:

1)   Maintain a ledger of all participants who sign up with GPWFA making note of their ages, birth date, school district attended as well as current grade in school.

2)   After the player draft is complete, prepare a notebook for each head coach, which provides the sign up information for the players on the team.

3)   Attend all sign up sessions, player evaluation periods and drafting events.

4) Attend equipment issue and work with the equipment manager to record equipment assigned to each player.

5) Assume duties of Secretary and Public Relations if these positions are left vacant.

 

Equipment Manager:

1)   Make sure all equipment is in good condition by going through it before the season begins (with help from the Board).

2)   Separate helmet and shoulder pad sizes in the equipment building.

3)   Pass out equipment to all of the players.  Maintain a log of what equipment is assigned to each player or coach with the assistance of the registrar.

4)   Schedule a time, date, and location with all head coaches to return their equipment at the end of the season.

5)   Assist in fulfilling other vacant board positions. 

 

Field Maintenance Manger:

1)   Ensure the game field is mowed and edged all year.

2)   Ensure any mowers or weed eaters owned by GPWFA are maintained in working order.

3)   Coordinate with the coaches for a weekly field clean up.

4)   Assist in fulfilling other vacant board positions. 

 

Public Relations:

1)   Manage and control the GPWFA Web Page and Facebook Page (must have a Facebook account to manage league Facebook page).

2)   Support on-line registration for the GPWFA Web Page.

3)   Update the GPWFA Web Page and Facebook Page as required to ensure the information presented is timely and accurate.

4)   Put ads in the newspaper as directed by the Board.

5)   Report game day scores to the newspaper.

6)   Provide any miscellaneous advertising as requested by the Board.

7)   Assume duties of Registrar and Secretary if these positions are left vacant.

8)   Assist in fulfilling other vacant board positions. 

 

Town Representatives (2):

1)   Attend all meetings of the Northwest Texas Youth Football Association. (Typically one meeting per month and several meetings per month in the month prior to the start of the season.)

2)   Settle disputes among organization members with support of the Board.

3)  Turn in Game Day Report to Northwest Texas Youth Football Association designated person on time every week during the season.

4)  Fulfill all NWTYFA town representative requirements as set forth by NWTYFA.

5)  Assist in fulfilling other vacant board positions. 

 

Director of Football:

1)   Recommend Head Coaches to the Board.

2)   Ensure the game field and practice fields are available for use prior to the start of the season.

3)   Preside over periodic meetings with the Head Coaches and organization members.

4)   Coordinate with the Field Mainance Manager to schedule work activities with all of the coaches, as required, to ensure the game field, practice field and other GPWFA properties are maintained in an acceptable manner.

5) Attend USA Football's Player Safety Coach clinic.

6) Ensure all coaches are USA Football Certified and use the USA Football Head's Up program throughout the season.

7) Maintain a working relationship with all coaches. Point of contact for any coaches concerns.

8) Address any and all complaints about coaches.

9) Work with the president and vice president to ensure there are several directors on duty at every home game.

     This is intended to be a guideline to give a general ideas of the duties of each board position. There will be additional duties that board members will be asked to volunteer for in addition to the duties outlined above.
