President – The President shall be the principal executive officer of the Club and shall, in general, act as liaison between the Hamilton High School Varsity Head Coach and the Club. The President will supervise all of the business affairs of the Club. He/She shall preside at all general, Executive, and Board of Director meetings of the Club, will enforce all bylaws and policies, will assist and coordinate chair persons as needed, outline and supervise all Club fundraising efforts, set general, Board of Directors, and Executive Board meeting times, and may appoint committees as deemed necessary. This office can be held by a parent or legal guardian of the Cheer Program and is subject to re-lection annually.
Vice President – The Vice President, at the request of the President, or in the event of his/her absence, shall perform the duties of President and, when acting shall have all the powers of and be subject to all the restrictions upon the President. He/She shall perform other duties as may be assigned by the President or the Club Board of Directors. The Vice President will attend all general, Executive, and Board of Directors meetings. The Vice President will be a non-signatory on the bank account and will verify the Treasurer’s report following monthly meeting to ensure accuracy. This office can be held by a parent or legal guardian of the Cheer Program and is subject to re-election annually. The Vice President will be a non-signatory on the bank account to maintain independence in reviewing the Treasurer’s Report.
Secretary – The Secretary will attend and keep minutes and attendance of all general Executive, and Board of Directors meetings, present a written record of those minutes and attendance at the following Club meeting. As a minimum, minutes must include a list of all expenses (amount, date expended, description and check number, if applicable,) since the last minutes were approved. He/She shall be responsible for correspondence of the Club, have charge of such books, documents, and papers, as the Board of Directors deems necessary. The Secretary shall also perform other such duties as may be assigned him/her by the President or the Board of Directors. This office can be held by a parent or legal guardian of the Cheer Program and is subject to re-election annually.
TREASURER – The Treasurer will attend all general, Executive, and Board of Directors meetings. The Treasurer will coordinate and maintain financial records for all Club sponsored fundraising activities, maintain all Club bank accounts keeping accurate records of all receipts and expenditures, receive all monies of the Club, make deposits into the Club bank account and present a current report of financial status at all Club meetings. He/She will prepare a monthly bank reconciliation for all bank accounts, and ensure that reconciliations are reviewed by a non--‐signatory. This office can be held by a parent or legal guardian of the Cheer Program and is subject to re--‐election annually.
Team Representatives (Freshmen, Junior Varsity and Varsity) – The responsibilities of the Team Representative are to: Serve as a position and enthusiastic liaison between the respective Team, the Team’s head coach and the Board of Directors. Build unity between the respective Team, the Team’s head coach, parents, and the Board of Directors. Attend a Team practice as needed after general meetings to pass information on to the Cheer members. Coordinate Team fundraising events that have been authorized by the coach and approved by the Board of Directors. Manage communications in a productive and consistent manner as recommended in conjunction with the head coach and the Executive Board. The Team Representative must be a parent or legal guardian of the member of the respective Team. The Team Representative term will start the day the appointment is ratified, and will run until the subsequent year the Team Representative are appointed.
