GENERAL SPORTS MEETING–October 18, 2016

1:  Opening Statement:

A quorum being present, the meeting was called to order at 7:37pm

2:  Minutes from Previous Meeting:

July 19th 2016 General Meeting Minutes were reviewed.

 

Chairman: 

·         Company scheduled to come out and make repairs to the flagpole at the concession stand

·         The gator is scheduled to go into the repair shop this winter for a tune-up and renovation.

·         New bases have been purchased for the 2017 baseball season.

·         T-Shirts have been ordered for the upcoming Alumni soccer game.

 

Treasurer:

·         On-Line registratons are currently on-hold due to SSSA having no provisions for gym time for practicing

o   After long, in depth discussions it was determined to go ahead and open the registrations on-line and continue working on procuring gym times.

§  Several suggestions were made about how to acquire gym times and how to pay for them

·         Discussion of baseball issue with whether or not to give a refund to a family that pulled their kid(s) from a baseball team, then later wanted back on the team and there was no place on the roster.

·         Field set-up (striping) was done on Sunday 9-11 and things went great.

·         Matt was appreciative of the help

·         Leagues started last week

·         Only complaint was that there were no rosters from the NCCYC office

·         Golf officially started last week

11:  New Business

o   There is an upcoming PGC class to be held at St Angela (Registration on-line)

·         T. O. received an email from a concerned parent asking if CYC is now requiring a CYC card to play clinic sports.  Rich H dispelled this myth and verified CYC cards are NOT required to play clinic sports.

·         Bob “BJ” Jercinovich volunteered to step in as interim SSSA CYC Rep. once Rich Heisse retires until a replacement Representative is found.

·         Fr Bandon asked the SS Tea Ladies for financial help once again, and once again SSSA is going to help out the Tea Ladies by donating $360.00 so Father can buy new vestments.

o   The motion was presented by Jeff Inman, voted on and a majority approved the donation

·         Tim O gave a special thanks to all that helped out with the SS OMG dinner that happened last Sunday and a enthusiastic “POO-POO” to all board members that did not assist in helping with the dinner.

·         BB / SB playoffs starting next weekend (out of 16 divisions only 6 with a full bracket)

·         Minimal problems during this past season

·         Golf went well – CYC liked the facilities so much there was discussion of moving the playoffs up North permanently.

·         TEC in for soccer and VB – 4 soccer teams and 1 VB team card entered

·         Players that registered with no team to play for were farmed out to either SH or SN

·         Screening meeting is this Tuesday 7-20-16 @ St Ann

·         St Norbert soccer tourney is upcoming

    • At the recent SS Men’s Club meeting there was discussion that Fr Banden  will possibly be looking at the 15% “tax” to help pay down the current parish debt with the archdiocese.

      • Tim is mandating that any fund raiser in the future has a minimum of 15% set aside to cover this ‘tax” if this comes to a realization

        • Tim added that this is for fundraising only, not the day-to-day activities of the board (primarily registration fees)

  • An in depth discussion started concerning the individual responsibilities of each and every SSSA board member.

    • Besides the basic responsibilities listed in the SSSA by-laws, a minimum requirement for all board members would be to have a report even in the event that board member cannot make it to the current board meetings (Board, and or General meeting)

      • The report can then be given by another member of the board

      • Even if there is no report to give that needs to be made clear via some sort of correspondence with another board member (primarily the Chairman)

        • This exception does not apply to the Treasurers position.

          • According to the SSSA by-laws it is a requirement of the Treasurer to submit a monthly report at each board and general meeting.

Discussion with clinic soccer coordinator concerning the issue brought up by a SSSA soccer coach that came to the October General Meeting to air his issues with having 3 year olds on a PreK – K soccer team. Also about having 14 players on a team that competes in a 6 V 6 league. o One solution is to always discuss with the coach the option to accept or deny too young of layers or too many players on a roster. (any appropriate aged player registering during the official registration period HAS to be put on a roster)

o Too young or accepting a player after sign-ups must be discussed with the head coach.

Pre-K soccer coach requested to speak on the issue of having 3 year olds on a pre-K – K soccer team

o

He has 14 players on this team (in his opinion, too many for a 6 V 6 league)

o

He has parents complaining when these 3 year olds are not getting "adequate" play time.

o

He asked what is the cut off for taking this young of player on a team

After discussion, it was agreed to speak with the clinic coordinator about this subject at the next sports board meeting.

 

A suggestion was made to allow 3 year olds to be registered, yet perhaps form a "waiting list"… if the younger player is needed to fill out roster, they will be put onto the roster. If the roster has an adequate amount of players, it will be presented to the head coach of that team, and they will be allowed to either accept or deny the

 

3 year olds registration.

CYC Basketball has been paid. $1079 for 4 total teams.

All outstanding money has been received from other parishes

We will not have a vendor fair, will do trivia night instead.  Amy will confirm a date.

Amy S. & Marie will research candy bar information and create a flyer.  Flyer to include candy bar info, uniform pick up, and trivia night info.

Need to determine a prize for person or team with most trivia ticket sales.

Basketball sign ups for 2015 will be 9/20, 9/27, 10/4

for 2016 9/18, 9/22, 10/2

Very few uniforms were returned.  Will be sending out postcards to collect remaining uniforms.

Uniform/Candy Bar pick up night will be April 14.  Possibly have coaches pick up equipment before that date.

Concession cash deposits were found and given to Dan to deposit.

Discussed moving to an online program for concession scheduling. Pros: parents can schedule themselves. Cons: getting the word out.  Will do more research and possibly try this next season.

Getting blank checks to Trinity to get ready for tournament.

Will be meeting with Vincent Association to "buy out" contents of concession stand to prep for tournament.

Just some updates from last night's meeting for tonight's meeting.
Anyone interested in attending the North County CYC banquet on Dec. 6th at St. Sabina needs to let me or BJ know as soon as possible.  This is usually a very nice time for just $10 per couple.
  Any kid interested in playing chess can sign up for a team through St. Ferdinand.  They will be holding the games over there.  To my knowledge, there is no Open or Closed Division play for this sport but if you wish to coach you still have to have all of the coaching requirements!!  :)
  Our girls 8th grade team MAY be playing tonight at Lou Fusz instead of tomorrow night.  We got thrown a curve ball this morning and we're trying to work it out.  More to follow.

The one-and-only team won their league and will be going to the softball playoffs.
 
Congratulations to Eric Carpenter and the St Sabina 5th grade girls softball team!
 
CYC Playoff meeting is next Monday the 14th down in Shrewsbury.
 
Schedules will be available at that meeting, I will forward their play times to all so if you want to come out and cheer on North County and St Sabina... the playoffs are hosted by North County this year, so I am sure NOCO CYC will be looking for volunteers.
 
I am sure Mr. CYC Parish Rep. will have more info on that.
