The Patrol Leadership Council has decided to make the following change to the way food fees are collected. Rather than having a particular scout buy the food and then chase down his fellow patrol members for reimbursement, food fees are now being collected when registering for the camp out. The scout camping fee of $15 will now have the food fee of $12 added for a total scout fee of $27 per camp out. The $12 food fee will then belong to the patrol and each patrol treasurer will keep track of patrol income and expenses. This change goes into effect starting with the November 2013 camp out.

When a scout buys food for his patrol, the scout will need to present his reciepts to the patrol treasurer. The patrol treasure will then meet with the troop treasurer for reimbursement for the scout that bought the food. The troop treasurer will know how much each patrol can spend per camp out based on the number of scouts and will not reimburse a patrol for overspending. Any balance that a patrol does not use to buy food, can be used to buy patrol items that need to be replaced. The patrol cannot use there patrol balances to cover overspending since not all patrol members are at every camp out.

As an example: If a patrol has 8 scouts attending a camp out, they can spend up to $96 which is $12 per scout. If the patrol only spends $90, they have a balance of $6 that they can use in the future to spend on items like foil, lighters, matches, syrup, spices, ketchup, mustard, dish soap, sponges, etc.... If the balance becomes large enough, the patrol can use it to buy pots, pans, cooking utensils. Although, more than likely the patrol decides to make a separate collection to buy these higher-priced items.

When patrols are combined and receipts are turned in to the troop treasurer, a per person food cost will be determined and each patrol will have these fees deducted from their balances.

Once new patrol treasures are elected during each new term, they will meet with the Troop Treasurer to learn how to handle the new process.

Any questions, please ask.
